Frequently Asked Questions
One our most important jobs is to educate customers on both the value of document scanning process and its value. Every day we field great questions from customers just like you. Below are some of the most common questions we receive:
How long does the document scanning take?
We only use high performance scanning equipment that can grind through over 100 pages per minute. For the largest jobs we can scale up the number of scanners to meet your timetable.
Does it matter what type of computers or software our company uses?
No, our experts work on Mac, Windows & Linux platforms as well as proprietary networks that customers have developed. For hard copies documents can be stored with microfilm and you can use USB to extract files from storage.
How can I estimate the number of documents that I need to have scanned?
To figure out how many pages you have you will need to put all of your documents in either boxes or file cabinets to calculate. The average cardboard bankers box will hold 1,800 to 2,200 pages. For records in file cabinets, you will need to measure the width of the cabinets to get the total number of inches of paper you have filed. Depending on the density of your files, you will have 150 to 200 pages per inch. From there the math is simple.
What format do you convert our files to?
The most common format to digitize documents is PDF, but we can accommodate additional file types such as Gif, Jpeg, Tiff and more.
Can you help us with document destruction as well?
Yes of course! We can provide document destruction as a stand alone service or include it with your scanning/storage package.
What are your options for storing documents?
You have a choice to utilize cloud storage or off-site document storage in a climate cooled, secure warehouse. Storing your documents in the cloud is highly convenient, but businesses with sensitive records need to weigh the security threats vs. the accessibility benefits.
What is the price per page for a document scanning service?
The average price per page for document scanning ranges from $.05 to $.15. This can be reduced for high volume orders and by combining the document scanning cost into a package that also includes storage and management.
How do you help keep us compliant with laws and regulations?
It can be tough for businesses to stay on top of ever changing record keeping laws to avoid fines or worse, data breach. We help clients stay on top of HIPAA, FACTA, GLBA and any other local records management requirements. We help establish proper procedures, training, employee manuals and the right equipment for small businesses or multi-location enterprises.
Do you offer double sided scanning services?
Yes all of our locations offer duplex scanning services for files, contracts or other records that contain information on both sides of the paper.
